HLVC Consulting ("HLVC", "we", "our") is committed to protecting the privacy of every prospect, client, and plan member whose information passes through our practice. This policy explains what we collect, how we use it, and the rights you have under Canadian privacy law — including the Personal Information Protection and Electronic Documents Act (PIPEDA) and Ontario's Personal Health Information Protection Act (PHIPA).
1. Information We Collect
- Contact information you submit through forms or email (name, company, work email, phone).
- Engagement information shared during a Valuation — typically anonymized claim summaries, renewal documents, and benefit booklets provided under an Authorization to Disclose (ATD).
- Personal health information only when expressly authorized in writing by the individual to whom it relates, and only to the minimum extent required to perform the engagement.
- Technical information from your visit to this website (browser, IP address, pages viewed) used solely for security and aggregate analytics.
Claims Desk Access
The Claims Desk uses an employer access code in the page path to request employer-level plan information. The code is validated by HLVC's server and, after successful validation, is stored in your browser's local storage so the access page can be reopened. The access page does not ask for or collect your name, email address, or health information. If you choose its external booking link, information you submit through Calendly is collected as part of that separate booking process.
/bor-transfer Documents
The /bor-transfer page does not accept or collect document uploads. Its upload control has been removed, and the page instead links to HLVC's Calendly booking page. Any documents needed for a broker-of-record review are arranged directly with HLVC during the scheduled call rather than uploaded through the website.
2. How We Use Information
We use information solely to (a) deliver the consulting services you have requested, (b) communicate with you about your engagement, and (c) meet our regulatory and professional obligations. We do not sell, rent, or share personal information with third parties for marketing purposes.
3. Confidentiality & NDA Compliance
HLVC continues to honour all non-disclosure obligations from prior carrier employment. No member-level claim data, adjudication outcomes, or carrier-confidential pricing methodology from prior employers is disclosed publicly or used to inform any current engagement.
4. Storage & Security
Personal information is stored on Canadian servers wherever feasible, encrypted in transit and at rest, and accessible only to engagement personnel. Records are retained only as long as required to deliver the service or to comply with regulatory obligations, and securely destroyed thereafter.
5. Your Rights
You may request access to, correction of, or deletion of your personal information at any time, subject to legal and regulatory exceptions. To exercise these rights, contact info@hlvalueconsulting.ca.
6. Complaints
If you believe your privacy rights have been violated, you may file a complaint with the Office of the Privacy Commissioner of Canada at priv.gc.ca, or with the Information and Privacy Commissioner of Ontario at ipc.on.ca.
